Privacy Notice
Effective 3 November 2026 · Last updated 3 November 2026
Jainchell Oil Company ("Jainchell Oil", "we", "us") is a Texas corporation focused on oil and gas production. This notice explains what information we collect when you visit jainchelloil.com, contact us, or do business with us, how we use it, and the choices you have. It also covers our telephone and text-message communications.
1. Who we are
Jainchell Oil Company
2401 Fountain View Dr., Ste. 464, PMB 2651
Houston, Texas 77057
Email: mark@jainchelloil.com
2. Information we collect
Information you give us
- Contact details — name, company, mailing address, email address and phone number when you write to us, call or text us, use the contact form on our website, or sign an agreement with us.
- Business information — details about leases, wells, mineral or working interests, operations and payments that you share with us in the course of a transaction, due diligence, joint operations or owner relations.
- Tax and payment information — such as a Form W-9, taxpayer identification number and bank details, when we pay you royalties, production payments, joint-interest settlements or invoices. These are stored encrypted and used only to make payments and file required tax forms.
The website contact form
Messages sent through the form on our home page are delivered to us by FormSubmit (formsubmit.co), a third-party form-to-email service. The name, email address and message you enter pass through that service to reach our inbox and are subject to its own privacy practices.
Information from calls and text messages
- Call records — the numbers involved, date, time and duration of calls with our business phone numbers, and voicemails you leave.
- Call recordings and transcripts — some calls may be recorded for accuracy and record-keeping. Where the law of your location requires everyone's consent, we do not record unless you agree. See section 6.
- Text messages — the content of SMS and MMS messages exchanged with our business numbers, including any photos you send us (for example a run ticket or an invoice).
Information from public and third-party sources
- Public records about oil and gas operators, leases and wells, such as Railroad Commission of Texas filings, county appraisal and deed records, parish and chancery clerk records, and Texas Comptroller and Secretary of State records.
- Contact information for businesses and their representatives obtained from public filings or provided by the business.
Information collected automatically on our website
- Our site is hosted on Cloudflare, which keeps standard server logs (IP address, browser type, pages viewed, referring page, date and time) to deliver the site and protect it from abuse. We do not run advertising trackers or analytics cookies. If that changes, it will be described here.
3. How we use information
- To respond to you and carry on business communications by mail, email, phone and text.
- To evaluate, negotiate, document and complete transactions in oil and gas properties and to conduct due diligence.
- To operate leases and wells: field reporting, vendor scheduling, joint-interest billing, revenue and royalty accounting, and owner relations.
- To make payments and prepare required tax forms (for example Form 1099) and regulatory filings.
- To keep business records, including call and message history, so that commitments made in a call or text are documented.
- To comply with law, enforce agreements and protect our rights, property and people.
We may use software tools, including automated reading of documents and messages, to sort, summarize and file the communications and documents we receive. A person reviews anything that results in a payment, a filing or a change to your records.
4. Text messaging (SMS/MMS) program
What we send. One-to-one business messages from Jainchell Oil Company about leases, wells, transactions, scheduling, invoices, payments and related matters. We do not send marketing text blasts.
Consent. You will receive texts from us only if you have given us your mobile number in the course of doing business with us, replied to a message from us, or otherwise agreed to be contacted by text.
Message frequency varies with the business at hand. Message and data rates may apply.
Opt out. Reply STOP to any message to stop receiving texts from that number. Reply HELP for help, or contact us at mark@jainchelloil.com.
No sharing for marketing. Mobile numbers and text-message opt-in information are not shared with or sold to third parties or affiliates for their marketing or promotional purposes. Text-messaging originator opt-in data and consent will not be shared with any third parties.
Carriers are not liable for delayed or undelivered messages.
5. Telephone calls
We place and receive calls from business telephone numbers that display our company name where the network supports it. We call businesses about their oil and gas interests and operations, and we honor requests not to be contacted: tell us on the call, by text (STOP) or by email and we will add your number to our internal do-not-call list. We do not use automatic dialers, prerecorded telemarketing messages or "ringless" voicemail.
6. Call recording
Calls with our business numbers may be recorded and transcribed so that we have an accurate record of what was discussed. Texas permits recording with the consent of one party to the call. If you are calling from, or located in, a state that requires the consent of everyone on the call, we will not record unless you agree, and you may ask us at any time not to record. Recordings are kept for the period in section 9 and are accessible only to our staff who need them.
7. How we share information
We do not sell personal information. We share information only:
- With service providers that process it for us under contract — for example our website host, our contact-form delivery service, our telephone and messaging provider, cloud database and document storage, email, accounting and payroll services, and AI-assisted document processing. They may use the information only to provide their services to us.
- In a transaction, with counterparties, title examiners, lenders, auditors and attorneys as needed to evaluate or complete it, under confidentiality where appropriate.
- With regulators and purchasers where filings or payments require it — for example the Railroad Commission of Texas, the Texas Comptroller, county and parish offices, crude oil purchasers and the IRS.
- When required by law, legal process, or to protect the rights, property or safety of Jainchell Oil, our people or others.
- In a change of ownership of our business or assets, to the successor, under this notice.
8. Security
We use reasonable administrative, technical and physical safeguards: encrypted storage and transmission, access limited to staff who need it, role-based permissions, and audit logs of changes to records. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Retention
We keep information as long as needed for the purposes above and for our legal, accounting and regulatory obligations. As a guide: business and accounting records for at least seven years; lease, title and well records for the life of the asset and the period required after; call recordings and transcripts for two years unless they are part of a transaction or dispute record; website logs for a short period. We delete or anonymize information when it is no longer needed.
10. Your choices and rights
- Communications: you may opt out of texts (STOP), ask not to be called, or ask us not to record a call, at any time.
- Access and correction: you may ask what information we hold about you and ask us to correct it. Owners of record may review their division of interest and payment history on request.
- Deletion: you may ask us to delete information we do not need to keep for legal, accounting or contractual reasons.
- State privacy rights: where a state privacy law applies to you (for example the Texas Data Privacy and Security Act or a similar law in your state), you may have rights to access, correct, delete and obtain a copy of your personal data, to opt out of certain processing, and to appeal a decision. We will honor those rights where they apply.
To exercise any of these, email mark@jainchelloil.com or write to the address above. We may need to verify your identity before acting.
11. Children
Our website and services are for businesses and adults. We do not knowingly collect information from anyone under 18.
12. Links to other sites
Our site may link to government and third-party sites (for example the Railroad Commission of Texas). Their privacy practices are their own.

We may update this notice from time to time. The date at the top shows the current version. Material changes will be posted here before they take effect.
